The electronic Leitz folder (short: ELO ) is a commercial software product for digitally managing and using documents and electronic content. Filing and organization is similar to that of classic, paper-based document management. A virtual archive contains cabinets that contain folders with registers that are filled and managed by the user. As a software product, ELO belongs to the category of document management (DMS) and enterprise content management systems (ECM). These enable a multitude of functions related to the digitization of corporate processes, including the audit-proof archiving of documents and information that are subject to retention.

Product family

The electronic Leitz folder was developed in 1996 as the first product in the "Electronic filing and archiving" division within the Louis Leitz group of companies. In 1998 this business area was outsourced to an independent company, ELO Digital Office GmbH. Since then, it has been headed by Karl Heinz Mosbach and Matthias Thiele. Today the company operates worldwide with locations in Europe, North America, Asia and Australia. In the same year the product portfolio was expanded.

In 2020, the company will offer DMS and ECM systems for companies of different sizes and industries: ELOoffice for small companies or self-employed, ELOprofessional for medium- sized companies and ELOenterprise for large customers.

ELOoffice

ELOoffice offers functions for the electronic archiving and management of documents. ELOoffice is used at individual workstations and in small teams. The data is managed in a Microsoft Access database. The limit for electronic archive filing is 200,000 documents per archive.

ELOprofessional

ELOprofessional is intended for larger companies and is based on a client-server architecture that runs on Microsoft Windows servers. The solution can be expanded modularly. Microsoft SQL Server , Oracle , DB2 and PostgreSQL are supported as databases . An integrated workflow engine ensures that company processes such as incoming invoice processing or file management are designed and implemented electronically.

ELOenterprise

ELOenterprise is intended for use by large international companies and corporations that operate across locations. ELOenterprise is not tied to the Microsoft Windows operating system and can also run on platforms such as Unix or Linux .

Extensions

In addition to the core products ELOoffice, ELOprofessional and ELOenterprise, modules and interfaces to other systems are available. Modules add additional functions to the core products. This includes u. a. the possibility of automatically classifying invoices, importing mass data and ensuring mobile access to the electronic archive via portals, smartphones and tablets. Interfaces enable connection and data exchange with other business applications such as B. commercial systems ( ERP ), customer management systems ( CRM ), construction applications ( CAD ) or portal and e-mail systems.

Intelligent and pre-configured specialist solutions have also been part of the portfolio since 2016: ELO Business Solutions for invoice and contract management, for digital personnel files and application processes, or for visitor and knowledge management are based on best practice approaches and enable users to implement projects extremely quickly .

In addition, the ELO ECM system can be individually adapted by ELO business partners - trained system houses or IT consultants - using appropriate scripts and automatisms.
