The business reference is used in the correspondence of the administration in order to be able to assign documents to a business case or process.

Components of the business logo can be:

  • an abbreviation of the responsible person or - especially in more formal organizations - the responsible department (reference symbol)
  • a file number (thematic identifier according to a file plan )
  • a diary number or another process identifier
  • a document identifier

It is customary in correspondence to quote the recipient's reference number in replies.

In practice, the process or document identifier of the relevant case file is often used in abbreviated form (name, contract, personnel, damage number, etc.).

In a guideline of the Federal Ministry of the Interior it says:

"The reference number consists of the abbreviation of the responsible organizational unit, the file number and, if applicable, a process and document identifier."

Only in the area of justice does the (differently defined) file number also form the transaction number.
