The term registration form is a term that is particularly used in the hotel industry . There, these short forms are used to record personal information about a guest. These forms are filled out when the guest arrives at the hotel , before the room key is given.

Requirement of the registration form

Filling out a registration form is not a common business practice in all accommodation establishments. Whether a registration form is required or not is legally standardized in the registration laws of the federal states. Depending on the federal state, registration forms are required from a certain length of stay; For longer stays (e.g. in Berlin over two months), the guest must register directly with the registration office.

All arriving guests must then fill out such a form by hand and sign it. If a copy of the passport or identity card is made, the guest must agree to this copy. This serves, for example, to secure any civil law claims.

With the passing of the Bureaucracy Relief Act III, a digital electronic registration procedure (digital registration form) was optionally introduced on January 1, 2020, in which the handwritten signature is replaced by other, secure procedures.

Data to be collected

The extent of the data collected is at the discretion of the accommodation provider. Since in many cities hotels and pensions are required by law to provide information about the origin of their guests for statistical purposes of tourism advertising (for example to the State Statistical Office), it is important that the origin is correctly stated. Failure to submit statistics can lead to fines. The following information is required by law: first name and family name, date of birth, nationality, address, time of arrival and, in the case of foreigners, the ID number.
