IBM Docs is a cloud- based web editor for text documents, presentations and (Excel) tables . IBM Docs allows users to edit content simultaneously and in real time. Documents are stored on a central server and can be shared with other people for editing from there. IBM Docs is designed to help teams work better on documents and to simplify review and consolidation processes. IBM Docs is thus a competitor to Google Docs and Office 365 from Microsoft .

Functionality

IBM Docs is intended to support use cases in which team collaboration and real-time communication is required (for example: several users work simultaneously on a presentation and have a high need for coordination). With IBM Docs, users can maintain and expand content in real time with multiple participants at the same time. Sections can be commented on and discussed using a built-in comment function. Comments and discussions are possible both in the document itself and outside the documents. @Mentions (@username) can be used for targeted comments aimed at specific people.

IBM Docs supports binary Microsoft Office formats (e.g. .doc, .ppt), OpenDocument formats (e.g. .odt, .ods) and XML -based Microsoft Office formats ( e.g.. docx, .xlsx). In addition, templates can be uploaded that can be used as file templates. IBM Docs uses the file storage of Lotus Connections as a document management system . In IBM Connections, files are centrally stored, shared and released for editing. In addition, different versions can be managed to ensure that the most current version is available to all team members. Documents can be shared with other users with different read and write rights.

An important innovation is working with different containers within one document. User authorizations can be assigned separately even within a file. For example, sensitive data such as passwords can be stored in a document, which are only visible to appropriately privileged employees. This feature has been tested with a government agency, according to IBM.

IBM Docs usage

IBM Docs is available for business customers both on-premises and in the IBM SmartCloud for Social Business . An existing IBM Connections installation is required for on-premises use. To use IBM Docs in SmartCloud for Social Business, a customer must either opt for SmartCloud Engage Advance or book IBM Docs as an add-on to SmartCloud Engage Entry or SmartCloud Connections. IBM Docs is purely web-based and can therefore be used via the browser without local installation. Supported browsers are Safari, Firefox, Internet Explorer and Google Chrome.

Mobile access

IBM Docs brings an app for the iPad that is integrated into the IBM Connections app. To use IBM Docs on the iPad, the latest version of the IBM Connections app should be downloaded from the App Store and installed on the device. The app can be used to edit text documents and view presentations and (Excel) tables. Since version 1.0.5, presentations can be presented in Presenter mode from the iPad.
