Intermediate archive
An interim archive (also an administrative archive) is part of an archive for the temporary storage of rarely used written material from larger administrations until the retention period has expired.
Organizational integration into the administration
An intermediate archive serves the (usually public) administration of one or more organizations as a central old registry, but is independent or is administered by the responsible archive.
Working method
Intermediate archives record and take over the records of an authority that are no longer required for ongoing administration and are stored in an orderly manner until the statutory retention periods have expired . This is followed by an assessment of the written material by the responsible archive.
Use
The administration of the old documents outside the authority in an interim archive saves the releasing offices from having to set up and operate an old registry, which u. U. is associated with a large amount of personnel and space. By setting up an intermediate archive, the historical archive has the advantage of being able to prepare the assessment (archival worthiness) and the indexing of the accepted documents more thoroughly. In many cases, the interim archive protects the documents from improper storage - for example in basements or attics - within the authority keeping the files or even from 'wild cassations', i.e. H. unlawful destruction.
The management of an intermediate archive requires regular contact between the historical archive and the file creator and thus promotes the regular and complete submission of all files to be submitted in accordance with the Archives Act . The lending of files connected to the interim archive is a possibility for the historical archive to distinguish itself as a service provider within the administration. In addition, regular contact with the authorities promotes the archive's positive influence on the records management of the file creator.
Intermediate archives in the German Democratic Republic
In the GDR there was a distinction between archives that had to store archived material until the end of the retention period (administrative archive) and the final archives (final archive) . In contrast to the intermediate archives, the administrative archives were spatially held by the transferring authorities.
Larger intermediate archives in the Federal Republic of Germany
Well-known interim archives are the interim archive of the Mannheim City Archives at the municipal level and the branch offices of the German Federal Archives in Sankt Augustin and Hoppegarten at the state level .
