The archive of the distance university in Hagen is a central facility of the distance university in Hagen . Its task is to keep and secure the archival-worthy documents created at the Open University so that they can then be made accessible to the public, especially in the field of research. In addition to official documents, the archive also collects bequests from professors and other personalities belonging to the Hagen Open University.

history

At its meeting in 2007, the rectorate decided to set up the archive of the distance university. In 2008, the archivist Renate Seiler started her job in the archive and built it up according to professional criteria.

Due to the organizational affiliation to the university library, the library director, Karin Michalke, also acts as the first director of the university archive.

The archive's magazine is located in the premises of the former Hagen Environment Agency at Universitätsstrasse 47, which has moved to an inner-city location on Rathausstrasse.

In the following years, the archive was given additional rooms in different parts of the building, which are spread over the campus of the FernUniversität. While the staff rooms are mainly housed in the general disposal center, the storage and magazine rooms are u. a. in the former technology and start-up center (today: information center).

The oldest documents in the archive date from when the distance university was founded in 1974 and consist of both official and unofficial documents. The archive also collects all publications of the distance university. The regular publications of the distance university include a. "FernUni Perspektive" and the magazine "Contacte".

Study letters from the faculties

A special feature of the archival material in the archive are the study letters from the distance university, which appear regularly every semester . In contrast to face- to- face universities , the study letters serve as a substitute for conveying the teaching content and therefore only exist at a distance university . The colors of the faculties , which can be found as a graphic insert on the study letters, provide direct recognition value . The study letters can be in two parts, so that the first course appears in a winter semester and the second course is published in the summer semester. However, several related courses are often made available in one semester.

In addition to the publications in the archive, the university library also collects all current study letters that can be found and borrowed in its online catalog.

Stocks

The tectonics of the stocks are divided into ten units, each marked with a Roman number. The archived and accepted documents are indexed according to the provenance principle , i.e. according to the origin of the files.

The central organs and committees include v. a. the commissions of the Fernuniversität Hagen, including committees of important bodies such as the Senate or the Equal Opportunities Officer . International matters, such as cooperation with organizations in the field of distance learning , are among the documents of the university administration. These include u. a. the International Association for Distance Learning, " ICDE " for short , the European Association of the Distance University "EADTU" or files that have been created in cooperation with and by the European Commission .

Documents from central institutions come from e.g. B. from the Center for Media and IT or from the university library itself. A main focus in the faculties and departments are the study letters, but doctoral files or seminar reports are also submitted to the archive at regular intervals. Due to the numerous institutes and other scientific facilities at the FernUniversität Hagen, many holdings are also located in this area. Mention should be made here of the Kurt Lewin Institute, which gave the archive its documents after discontinuing some courses. Documents from student councils and general student committees belong to the documents of the student self-administration. In the collections area, there are many publications from the distance university, which are mainly composed of journals. Most of the bequests come from former professors at the distance university, u. a. Peter Brandt , in the archive.

Cooperations

The archive of the Fernuniversität Hagen has been a member of the working group of university archives in North Rhine-Westphalia since it was founded, and Renate Seiler was its deputy chairman from 2011-2013.

The archive is actively involved as the central institution in the university's internal project "hs.r - Hagen System Relaunch" and regularly takes part in its meetings and lectures.

In addition, Seiler has been a member of the "Digital Long-Term Archiving " working group within Section 8 of the VdA since 2010 . Archivists from Germany-wide universities and other scientific institutions come together in this group to deal with current topics (including the archival evaluation of digital student data) from the archiving system in order to find solutions that can be standardized together.

Due to the organizational affiliation to the Hagen University Library, the archive works closely with the library of the distance university, particularly in the area of public relations .
