HRworks (HR stands for Human Resources ) is a web-based software for handling personnel processes. The aim of the HR tool is to simplify work in HR and accounting departments. For this purpose, the software has various, integrated functions that can be divided into the categories of personnel administration, travel management, time management and corporate benefits. The software is based on the SaaS model ( Software as a Service ). It has been on the market since 1998 and is developed and sold by HRworks GmbH based in Freiburg im Breisgau .

technology

HRworks is standard software that is operated in the Amazon cloud . The interface uses HTML5 Ajax technology so that only the parts of the HTML page that have been changed by user interaction are reloaded. The program was developed completely object-oriented in the programming language Smalltalk and also uses an object-oriented database to store the data . HRworks supports the popular browsers Google Chrome , Firefox , Internet Explorer and Safari . The software is also accessible as a web app via the latest mobile browser, regardless of platform .

Functional scope / components

The software enables various HR processes to be carried out according to the ESS principle ( Employee Self Service ) and uses electronic email-supported workflows. The aim of the application is to use the combination of ESS and automation to offer the user added value in the form of more transparency, time savings and a reduction in general process costs. The functionality of the software can be divided into the following components:

HR management

  • Applicant management : For the administration of application documents and applicant communication as well as for the evaluation of recruiting processes.
  • Job portal : function for creating job advertisements including application forms.
  • Electronic personnel file : software component for managing and archiving digital, person-related documents.
  • Skill management : Used to log and graphically illustrate employee competencies.
  • Wages and salaries: Function for entering salary data, for salary comparison and for creating reports and exports.
  • Employee interview : Functional component for the organization and administration of employee interviews.
  • Work certificates : Certificate Generator qualified for creating employment references.
  • Work equipment management : Function for managing all work equipment such as keys, laptops, vehicles, work clothing, but also intangible goods such as powers of attorney and software licenses.
  • Compliance management system for compliance with laws, agreements and internal guidelines.
  • Onboarding: System for receiving complete and error-free data and documents from new employees.

Travel management

  • Travel expense accounting: Function for accounting of company travel expenses with receipt entry, electronic receipts, automatic updating of exchange rates and lump sums for additional meal expenses as well as interfaces to financial accounting, payroll accounting and time recording programs.
  • Electronic driving license control: Digital control and documentation of the driving licenses of employees according to § 21 Abs. 1 StVG.

Time management

  • Time recording : Function for recording working times, mobile input or via kiosk system.
  • Absence management: Component for the management of vacation and absence times as well as for the automatic calculation of vacation entitlements in compliance with the Federal Vacation Act and the Continued Remuneration Act .

Corporate benefits

  • Tax-free vouchers : Function for ordering and sending employee vouchers within the framework of the exemption limit for remuneration in kind according to Section 8 (2 ) EStG and gifts according to R 19.6 LStR - R 19.6.
  • Flat-rate tax vouchers: Function for ordering vouchers as business-related gifts (Section 37b ESTG).
  • Meal subsidies: Function for the simplified subsidization of the working day lunch according to the wage tax guidelines (R 8.1 Abs. 7 Nr. 4 LStR).

privacy

To encrypt the data, HRworks uses the asymmetric RSA encryption method with a key length of 2048 bit (SSL encryption), AES and the SHA-256 hash algorithm . HRworks also uses the AWS Key Management Service (KMS) and thus the hardware security modules (AWS CloudHSM). This encryption corresponds to international standards ( Common Criteria EAL 4+ , NIST FIPS 140-2). Additional, individually adjustable data protection functions are available to users. This includes access control through roles and authorizations as well as two-factor authentication (using email, Google Authenticator or U2F).

Distribution / application

The software is currently used by over 1,600 customers and 200,000 users. The program is used by medium-sized companies as well as by larger companies and corporations regardless of the sector. A company pays a monthly rental fee per license or per user to use the software.

Companies

In 1998, computer scientist Thomas Holzer laid the foundation for the HRworks software with a browser-based application to simplify corporate travel expense accounting. The idea for HRworks was born from Holzer's personal experience with business trips, the tedious travel expense accounting and the associated paperwork. His aim was to develop a program that maps the entire billing process online and thus makes it more organized and efficient. In Freiburg im Breisgau, where the head office of HRworks GmbH is still located today, the travel expense software has been continuously developed. The company initially operated its own servers, but in 2006 decided to use Amazon Web Services. In addition to Freiburg, HRworks has other headquarters in Berlin and Frankfurt am Main.
