DocuShare is a web-based document management (DMS) and enterprise content management solution for companies developed by Xerox . In addition to the primary functions of document management, DocuShare also includes advanced workflow mechanisms , such as document review and approval processes. By using open standards, integration into existing systems or individual expansion of the solution is possible at any time.

history

Xerox DocuShare was originally developed under the name "AmberWeb" as a purely internal application for the Xerox research centers. Due to the potential of the application, DocuShare was introduced to the market in 1997 as the first web-based document management system. Since the official market launch, DocuShare has been continuously adapted to the needs of the market and supplemented with numerous functionalities such as workflow and business process management, knowledge management , archiving, etc. Starting with version 5.0, Xerox introduced the DocuShare CPX license model, which allows the user to further adapt to company-internal requirements, such as B. by means of mixed user groups.

Product overview

The DocuShare Content Management Platform is made up of three products:

  • DocuShare Express is a solution specially tailored for SMEs that covers the basic functions such as document management and incoming scan management.
  • DocuShare extends these basic functions of document management with modules for teamwork, image capturing and web publishing, with the aim of optimally supporting the dissemination of information in a company.
  • DocuShare CPX is a solution that is geared towards Enterprise Content Management (ECM) needs and enables extended functions for teamwork as well as the individual creation of automatic workflows .

Architecture and features

DocuShare is a multi-tier, Java SE-based platform which tries to support interoperability with other systems in the best possible way using its own architecture and development environment . In addition to a Tomcat server, numerous OEM engines are used, including Autonomy Corporation (for indexing, eFormular, BPM) and Records Management from IBM . These various software products were combined by Xerox and combined into a uniform software product through its own developments (including a worflow and a search engine). A separate Workflow SDK and a Workflow Design Studio are available in the DocuShare development environment so that even complex workflows can be easily mapped .

Established collaboration functions such as wikis, weblogs and the option of adding comments to files are also available. If necessary, this content can be made available in other systems via XML. With the help of interactive group study rooms, so-called workspaces, work groups can view documents together and change them independently of one another.

Docushare supports all common database systems such as IBM DB2, PostgreSQL , Oracle and Microsoft SQL-Server. An integrated system audit helps to meet compliance requirements. With the help of content rules, it is possible to control who is allowed to read, edit or manage which data and when. But import interfaces to all common applications are also available, such as direct e-mail import from Microsoft Outlook . DocuShare also supports the use of barcode and DataGlyph technologies as well as various OCR engines.

Xerox DocuShare has already received several awards for its user-friendliness, most recently with the BLI Winter 2011 Pick Award.

DocuShare includes numerous interfaces to other applications as standard, such as ERP systems such as SAP or Microsoft Dynamics , e-mail systems such as Exchange and Microsoft Outlook , or customer relationship management systems such as Microsoft CRM . Other third-party applications can be integrated at any time using standard tools.
