Office management clerk

As of August 1, 2014, the office management clerk is a newly created, recognized three-year training occupation in accordance with the Vocational Training Act (BBiG). The female term for this newly created training occupation is office management assistant . He combines the three professions of office clerk , clerk for office communication and specialist for office communication in a single job. The aim is to create an “attractive, clearly structured and modern offer for different industries”. Training is planned that aims at "holistic, process-oriented action competence ".

Structure of training

The training takes place at the company and vocational school . The training period is three years. During the training, company learning content can be differentiated through elective qualifications , which, however, will not be reflected in the school curriculum . The vocational school offers identical learning fields for all trainees. High-performing young people can complete an unselected optional qualification as an additional qualification .

The training regulation will consist of two parts: a basic regulation contains, among other things, information on the job description and includes a conventional intermediate and final examination . It is not limited in time. In addition, there is a trial ordinance with which the extended final examination is to be tested by July 31, 2020 .

Training content

The office management clerk learns comprehensive qualifications for handling complex office and business processes . He organizes, coordinates and carries out office management processes. He also handles commercial processes such as invoicing and monitoring payments. He learns how to use modern communication and booking systems, processes procurement processes , prepares key figures and presents them. Another important area is communication and cooperation with external and internal partners in German and at least one foreign language . Merchants for office management but can also in human resource management areas or in marketing work.

The following compulsory qualifications are provided for all trainees:

  1. Office processes: information management , information processing , office management processes and coordination and organizational tasks
  2. Business processes: customer relationship processes, order processing and follow-up, procurement of material and external services, personnel-related tasks, commercial management

In addition, there are integrative skills and abilities that are to be imparted throughout the training: They deal with the training company, work organization as well as information, communication and cooperation.

A total of ten optional qualifications with a duration of five months each are available to differentiate between companies, two of which are selected by the company:

  3. Commercial processes in small and medium-sized companies

  5. Marketing and Sales
  6. Human resource management
  7. Assistance and secretariat
  8. Public relations and event management

The examination is taken as part of the extended final examination and is divided into final examination part 1 (formerly intermediate examination) and final examination part 2.

During the final examination part 1, in the middle of the second year of training, office processes and procurement are solved as computer-aided, written tasks. 25% of the result of the intermediate examination is included in the overall grade.

In the final examination part 2, towards the end of the training, economics and social studies (10% of the overall grade), customer relationship processes (30% of the overall grade) and one of the two elective qualifications are discussed in a technical discussion with a min. three members of the existing examination board (35% of the overall grade). Depending on the decision of the training company, the task for the technical discussion is given (classic variant) or is based on a report on an activity carried out in the training company (report variant).

Under certain conditions it is possible to complete an additional qualification at the end of the training.
