Google Docs, Sheets, Slides and Forms

Google Docs , Sheets , Slides and Forms is a free, software-as-a-service - online office from Google for creating text documents , tables , presentations and questionnaires . The service is fully integrated into the file hosting - Service Drive Google integrated, are automatically saved place the created documents.

The service can be used online in the web browser or offline as an application for Google Chrome , Android and iOS . The components Forms, Drawings and Fusion Tables are only available as web applications; Drawings also available as a Chrome app. The web version is officially supported by the current versions of the web browsers Firefox , Internet Explorer , Safari , Chrome and Microsoft Edge , which run on the Windows , macOS and Linux operating systems . But the service can also be used with other browsers such as Opera .

Functions

Files can be imported, edited or shared via the graphical user interface . Documents can also be exported in a variety of file formats. Documents are automatically saved on Google's servers and an edit log is kept so that previous changes can be tracked. Documents can be marked and archived for organizational purposes. A simple search and replace function is available.

Google Docs includes a web clipboard tool that allows users to copy and paste content between Google Documents, Tables, Slides, and Graphics. The Web Clipboard can also be used to copy and paste content between computers. Copied data is stored on the Google servers for up to 30 days. Google Docs also supports keyboard shortcuts for most copy-and-paste operations.

On March 11, 2014, Google introduced add-ons for Google Docs and Sheets, with which users can use applications installed from the add-on stores to obtain additional functions for the main services. The add-on store was also made available for Google Forms in October 2014.

Formats

The application supports opening and exporting of many different file formats. However, only files converted to a Docs format can be edited, except for Office files that can be opened in an Office Compatibility Mode. It should be noted that the display / conversion is not always complete and error-free (usually there are clearly visible formatting errors). When converting a document from a Microsoft, OpenOffice or ODF format to Google and back, some information and functions are lost and the layout may change slightly. Above all, Google does not support file / document properties (metadata) that are available via Windows Explorer or the corresponding Microsoft applications; when converting a document from Google format, no file / document properties are created.

Google offers an extension for Google Chrome, Office Editing for Docs, Sheets and Slides, which allows users to view and edit Microsoft Office documents in Google Chrome using the Docs, Sheets and Slides apps. The extension allows Office files stored on the computer or the web (e.g. as e-mail attachments, Internet search results, etc.) to be opened through Chrome without having to download them. The extension is automatically installed in the Chrome OS operating system.

Files uploaded but not converted to Google Docs format can be up to 5 TB in size.

collaboration

Documents can be shared, opened and edited or commented on by several users at the same time, and every change can be followed by all users in parallel. It is not possible to report changes to users, but the application can notify users when a comment or discussion is created or replied to for direct collaboration. The current position of a user in the document is indicated by a specific color or a specific cursor.

A chat bar allows users to discuss changes. In addition, users can use the processing log included to get an overview of the changes made to a document, with each employee having their own color. Users cannot control how often revisions are saved. A new feature that was introduced in June 2014 allows anyone with a comment to make suggestions for changes. However, this feature is currently only available for documents.

Word Processing (Docs)

Word processing functions worth mentioning include a formula editor and discussions with e-mail notification. An OCR function makes it possible to create texts based on the analysis of images and PDF files. Documents uploaded and converted to Google Docs format cannot be larger than 50 MB and contain no more than 1,024,000 characters, regardless of the number of pages or font size.

In September 2009 an equation editor was added that supports the LaTeX format ; however, there is no function for numbering equations. On May 15, 2012, Google Docs received a research tool. It allows users to easily access Google Search through a sidebar while editing a document . Since February 28, 2017, notes from Google Keep can also be inserted into a document.

Files of the following formats can be viewed and converted into Docs documents:

  • For documents: .doc (if newer than Microsoft Office 95), .docx, .docm .dot, .dotx, .dotm, .html, plain text (.txt), .rtf, .odt
  • For OCR: .jpg, .gif, .png, .pdf

Presentations

Presentations can consist of text, tables, drawings, images and videos. The playback takes place directly in the browser, preferably in full screen mode , or via Google's Chromecast . Presentation files uploaded and converted to Google Slides format can be up to 100MB in size. The file formats .ppt (if newer than Microsoft Office 95), .pptx, .pptm, .pps, .ppsx, .ppsm, .pot, .potx, .potm and .odp are supported.

Spreadsheet (Sheets)

This document type masters formula processing, formatting and sorting. It also allows the horizontal and vertical connection of cells. In addition, .xls (if newer than Microsoft Office 95), .xlsx, .xlsm, .xlt, .xltx, .xltm .ods, .csv, .tsv, .txt, .tab imported files and Excel -, CSV - and OpenDocument , PDF and HTML files can be exported. Table files in Google Sheets format cannot have more than 2 million cells.

In April 2007 the diagram function was introduced. As with other Office packages, it has since been possible to have cells in tables filled out automatically.

Google Sheets also includes Google Apps Script to insert code into documents, similar to Visual Basic for Applications in Microsoft Office . The scripts are either activated by the user or triggered by an event.

Since February 2008, "Google Docs - Forms", as part of what was then "Google Docs and Tables", made it possible to create forms online and send links to online surveys or surveys directly by email. The recipient can fill out the form directly in the email message or online on a Google page and submit it again. With the collected responses, Google Drive automatically creates statistics that can be opened and edited in the table editor. Various types can be specified for the answers: free text, a multi-choice question, suggested checkmarks, a scale or a position in a grid. For multi-choice questions, the results of surveys are shown in pie charts and with the number of votes and the percentages of the answers.

Google Drawings allows users to create, share, and edit pictures or graphics. It can be used to create graphs, diagrams, drafts, flow charts, etc. The tool includes some of the functionality of Google Slides, but with different templates. This includes displaying graphics with precise auxiliary grids, adjusting to the grid by clicking, automatic division and inserting drawings into other Google documents, tables or presentations. Export formats are PNG , JPEG , SVG and PDF, import formats .wmf and .emf.

Google Cloud Connect

Google Cloud Connect was a plug-in for Microsoft Office 2003, 2007 and 2010 that could save all Word documents, PowerPoint presentations or Excel tables under Google Docs in Google Docs or Microsoft Office formats. The online copy is automatically saved each time the Microsoft Office document is saved. Microsoft Office documents can be edited offline and later synchronized online. Google Cloud Sync is compatible with earlier versions of Microsoft Office documents and enables multiple users to edit the same document in parallel. However, Google Cloud Connect was discontinued on April 30, 2013 because Google Drive performed the same tasks with better results.
