Briefing

The meeting (also, especially in Switzerland , meeting ; English meeting ) is a form of discussion in organizations in which participants from a certain field of work can present facts , problems , opinions and plans to each other through personal contact .

General

Companies , public administration and other associations of persons come into question as organizations with meeting facilities . The meeting is a form of internal communication through mutual exchange of conversations within the framework of a dialogue . An introductory speech can still take place in monologue form , but the meeting participants should be given sufficient opportunity to make their own contributions afterwards. Meetings require group work and a certain social behavior within the framework of the communicative interaction that takes place between the participants. Meetings are also subject to group dynamics . When synonyms are alleging Duden for "meeting" in this sense, consulting , conference , consultation , meeting , negotiating , meeting .

Meetings mostly relate to the world of work . The meeting must be differentiated here from the telephone conference , which represents a work meeting by telephone , the video conference with image and sound transmission and the employee discussion "in private" with personal content. The meeting (in Germany) is a “debate that should lead to mutual conclusions”. Negotiations, in turn, serve to resolve conflicts through attempts to balance interests. Meetings in a larger framework - with access also for participants who are not part of the organization - are referred to as a conference, congress or symposium .

species

The pedagogue Josef W. Seifert differentiates between information exchange , decision preparation and problem solving discussions . The former is all about the mutual exchange of information in order to level out information deficits and to ensure a homogeneous level of information. Meetings can also serve to prepare decisions by collating facts and information and condensing them into a result ready for decision-making . Existing problems (personal or professional) can be thematized using the latter type and a solution can be found.

A working meeting can take place regularly (e.g. weekly or monthly ( monthly meeting )) ( French jour fixe ) and is mandatory for all employees in a certain area. Since the meeting dates are scheduled well in advance, there is no special invitation. It is used to discuss business matters. A working meeting offers a good opportunity to exchange knowledge , experiences and opinions , it is used for joint discussion and advice on problems, possibly also for the preparation of decisions and can improve the cohesion of the participants.

organization

The meeting leader (usually a supervisor or line manager ) prepares for the meeting in terms of content ( topic ), methodically ( visualization , work equipment ), organizationally ( scheduling and room planning ) and personally (group of participants) and speaks the invitations to a specific meeting in good time before the meeting meeting location ( english meeting point ) and returns the agenda before. The content of the meeting, the duration and the goal of the meeting result from this in more or less detail. During the meeting, the interviewer or a person taking the minutes will write minutes in which the results of the meeting are recorded. According to a factually applicable interaction rule, meetings should begin no later than 10 minutes after opening. Afterwards, the participants can make their own contributions under the moderation of the meeting leader; if necessary, votes are possible with prior determination of the quorum . The meeting leader ends the meeting after a conclusion .

The more participants there are, the greater the risk of the lack of efficiency of the talks. Moderation and a tight agenda are required to maintain efficiency . According to the "two-pizza rule" of Amazon's Jeff Bezos , the maximum is eight people.

Meaning and goals

According to a study, managers spend 40% of their working time communicating, with meetings accounting for just under 19% and meetings accounting for 9%. The overarching meeting goals are coordination for the purpose of standardizing work processes and work planning , information from top to bottom and vice versa ( English: top-down and bottom-up ), problem solving and, if necessary, target agreements . Managers often see meetings as a weak point , because the productivity of meetings depends in particular on strict adherence to the planned meeting topics, the meeting duration and the results achieved.
