Microsoft Office Online (formerly Office Web Apps) is an Office package that is offered as a free web application and is part of the Microsoft Office family.

The functionality of the free version is reduced compared to the desktop version. The applications are online versions of Word, Outlook.com ( e-mail , address book , calendar with appointment management, to-do list ), Excel, OneNote, PowerPoint and OneDrive as online data storage . Office Online can be executed with all common web browsers and is therefore independent of the computer's operating system. Google Docs, Sheets, Slides and Forms are comparable web applications.

Microsoft Office Online is an essential part of Microsoft Office 365 , which is offered in various tariffs, can be combined with the Office desktop applications and is also available for a fee. The paid version within Office 365 offers significantly more functions than the free one. Some functions are still only available in the desktop version of the apps, some new functions are only available in the online version.

Without desktop applications in the business tariffs, Microsoft's offer is comparable to Google Apps .

history

Hotmail

Hotmail was founded in 1995 by Sabeer Bhatia and Jack Smith and started on July 4, 1996, the American Independence Day , to symbolically represent the freedom of Internet service providers . In the original notation, HoTMaiL , the name alluded to HTML . In 1997, Hotmail was sold for $ 400 million to software company Microsoft, which integrated the service into its Microsoft Network (MSN). At that time, just a year and a half after its launch, Hotmail had twelve million users. Hotmail was represented in numerous countries and one of the world's largest providers of webmail services.

Windows Live Mail

Under the code name Kahuna , Microsoft has been working since August 2005 to increase Hotmail's competitiveness over other webmail services through a new development. On November 1, 2005, Microsoft released the first beta version of Windows Live Mail , the new name of which goes back to the Windows Live initiative launched that same month . At the beginning of February 2007, Microsoft announced that it would keep the product name Hotmail. In addition to an interface based on current technologies such as Ajax , Windows Live Hotmail offered a storage volume of five gigabytes and the import and export of contacts from other webmail services such as Google Mail .

Office web apps

Office Web Apps was first announced in October 2008 at the MS Professional Developers Conference in Los Angeles. The Office Web Apps should become part of the Office Live Workspace.

On July 13, 2009, Microsoft announced at the Worldwide Partners Conference 2009 in New Orleans that Microsoft Office 2010 had reached the "Technical Preview". It was the first time that some features of Office Web Apps were demonstrated in public.

The technical preview of the Office Web Apps was officially released by Microsoft on September 17, 2009. The Office Web Apps were made available to some selected testers via Microsoft OneDrive (at that time still SkyDrive). The final version was made available to the public on July 7, 2010 via Windows Live Office.

Outlook.com

Hotmail has been updated to Outlook.com.

The July 31, 2012, Microsoft launched Webmail Service Outlook.com, with Microsoft a stronger competitor to Google's mail offer Gmail will offer. In early May 2013, it was reported that Microsoft had fully completed the move from Hotmail to Outlook.com.

Outlook.com was introduced by Microsoft on July 31, 2012 and replaces Hotmail. With Outlook.com, Microsoft wants to be able to keep up with Google Drive , the competitor from Google . At the same time, Word Online, Excel Online, PowerPoint Online, OneNote Online and OneDrive (formerly SkyDrive) became available at Outlook.com.

Outlook.com exited the trial phase on February 19, 2013; the service had around 60 million active users at the time. The remaining Hotmail accounts were automatically transferred to Outlook.com by the beginning of May, with which Hotmail itself was discontinued. However, Hotmail email addresses can still be used. The changeover was accompanied by a large-scale advertising campaign .

Microsoft Office Online

In February 2014, the Office Web Apps were renamed Microsoft Office Online and then also included Outlook.com .

Applications

The web applications are Word Online, Outlook.com (e-mail, address book, calendar with appointment management and to-do list), Excel Online, OneNote Online, PowerPoint Online and OneDrive with 25 GB of online storage. The ribbon (menu ribbon or a multi-function bar), which is also known from other applications, is used as the user interface . This makes it the same user interface as the current Microsoft Office 2013 desktop version and the Office 365 applications .

One of the advantages of the online office programs is the possibility of working with several people on the same document. Anyone who receives a link for editing can write live in any document; all changes are visible to the co-authors through the colored cursor named with their name. Text lines can also be locked for editing and comments can be added to text lines.

Word Online

Word Online is reduced by a few tabs and functions. There are no tabs for design, references and mailing compared to the desktop version of Microsoft Word .

Outlook.com

Outlook.com can also be reached via this Internet address and at the same time makes all Office Online applications available. The Outlook application area corresponds to a Personal Information Manager with the following individual applications:

For example, birthdays are automatically transferred from the address book to the calendar and managed as appointments. Outlook Online also lacks some functions compared to the desktop version of Microsoft Outlook . Outlook Online data can be synchronized with most smartphones.

Excel Online

The tabs Layout and Formulas are missing here compared to Microsoft Excel .

PowerPoint Online

PowerPoint Online, the tabs slide show and checking are not available, which in the desktop version of Microsoft PowerPoint are.

OneNote Online

The drawing and history tabs are missing from OneNote Online compared to the desktop version of Microsoft OneNote.

OneDrive

All documents that are to be edited with other applications must first be uploaded to OneDrive . It is not possible to open locally stored documents directly. Then these can also be shared with other users and edited at the same time. The names of the users and the positions where they were processed are continuously displayed. Data in OneDrive can be synchronized with the computer and is therefore also available offline for the corresponding desktop applications.

Sway

With sway to presentations can create stories, reports and other documents and share. Initially only in Office Online, it has been preinstalled as a desktop app since Windows 10 . Alternatively, it is available in the Windows Store . A Microsoft account is required to download from the Windows Store and to use it .

The online Office applications do not contain all the functions as in the desktop version of Office.

restrictions

In addition to the restrictions mentioned under the individual applications, the following restrictions are currently known:

  • Outlook.com accounts in Outlook 2013 (synchronization with Exchange ActiveSync )
  • Unable to import data files ( .pst ) into Outlook.com folder.
  • Can't copy and move email from other accounts' folders to Outlook.com folders using drag and drop .
  • Cannot copy emails within the folder structure of an Outlook.com account using drag and drop.
  • Cannot create additional calendar, task and contact folders.
  • The Drafts folder is not syncing. The drafts are saved locally on the computer.
  • Contact groups created online are not synchronized.

criticism

Microsoft has changed its terms and conditions and now reserves the right to scan its customers' emails (a project that Google is already doing with Gmail , for example ). In contrast to Google , however, no personalized advertising is displayed.
