Microsoft 365 (formerly Microsoft Office 365) is a combination consisting of an online service , an Office - Web application and an Office -Software- subscription . Microsoft 365 is available as a single or family version, which is intended for private customers, as well as business or enterprise packages for companies. The range of functions differs considerably; despite the common name, it sometimes contains completely different services.

Microsoft 365 offers users the option of working from any supported device, regardless of location. Saved data is located in Microsoft data centers that can be accessed via the Internet.

Scope of services

The web applications under Microsoft 365 Online include the online versions of Word , Outlook , OneNote , PowerPoint , Excel and OneDrive as well as Microsoft Project and Microsoft Visio depending on the plan . Office Online is an independent web application and can be used by anyone with a Microsoft account free of charge and regardless of the operating system.

Microsoft 365 Online is comparable to the free offers Google Docs, Sheets, Slides and Forms or Zoho Office Suite .

The fee-based Microsoft 365 subscription includes, depending on the tariff, in addition to the web applications mentioned, additional services such as B. a professional e-mail solution or web space for a website. So far, the offer of the corresponding tariffs can be used with a browser regardless of the operating system and can therefore also be compared with the paid offer from Google Apps .

Depending on the tariff, there are also the more functional desktop versions of the Office applications, as well as Access , Publisher and, most recently, Teams as online and desktop versions. The desktop applications require one of the two operating systems Microsoft Windows or Mac and are automatically updated for the duration of the subscription.

history

Office 365 goes back to the so-called Business Productivity Online Suite ( BPOS ), which Microsoft offered exclusively for small and medium-sized companies. Office 365 was officially presented as the successor in October 2010. After a closed beta phase , Office 365 was brought into regular operation in June 2011. It was then announced that the existing offer ( BPOS or Office Live ) would be discontinued by May 1, 2012 at the latest.

Since the introduction of Office 2013 , Microsoft has also offered the service to private individuals. As part of monthly or annual subscriptions, the buyer has the right to install the desktop software on two or five devices, as well as additional storage space with OneDrive, free minutes for Skype and access to the Office Web Apps. In May 2013, Microsoft reported that the latest version of Office 365 had been sold over 10 million times since it was launched. At the end of 2013, the group started the Student Advantage program, through which learners from participating educational institutions can obtain a license for Office 365 ProPlus free of charge in the DreamSpark shop.

In the fourth quarter of 2017, Microsoft took in more revenue from Office 365 than from the traditional Office suite for the first time.

On April 21, 2020, there was a rebranding of Microsoft Office with package extensions to include additional Microsoft services.

software

Exchange Online, Lync Online and SharePoint Online are services that are provided in the cloud . This means that the user does not have to worry about the maintenance of the programs or the administration of a server . Also updates are automatically installed and available immediately. The office package Microsoft Office with Word , Excel , PowerPoint and Co. can either be completely downloaded and installed or streamed . The latter means that the applications are loaded from the Internet and are not set up permanently. The streaming function is only possible on a computer with Windows 7 , Windows 8 and Windows 10 ; older versions of the operating system and OS X are not supported.

Microsoft guaranteed an annual average availability of all applications and services in Office 365 of 99.9 percent .

As part of the introduction of Office 365, Microsoft has also started to produce software for smartphones and tablets from other manufacturers that are supposed to facilitate access to Office 365. These include, for example, Microsoft Teams for Android and iOS, which enable a VoIP connection, and SharePoint for iPhone and iPad . Office Mobile for iPhone has also been available since June 2013, which enables Word, Excel and PowerPoint files to be edited on the iPhone. An active subscription to Office 365 is required.

Office Graph

Office Graph is a component that works in the background of Office 365. It collects and networks data from various Microsoft Office products. Office Graph uses machine learning, among other things. Not only the data, but also the interaction of the users with the data and with each other is analyzed. The goal is a kind of software-based personal assistant that supports you in your work by pointing out files and contacts that may be of interest. Only data to which the user has access rights is taken into account.

criticism

By laws of the US federal government as FISA and the Patriot Act have US intelligence and cooperating intelligence services of other countries access to user data in the European Union . Although Microsoft asserted its consistent compliance with European and German data protection guidelines in a press conference on the subject of data protection , Office 365 administrators can see exactly what actions users are performing when in their e-mail account if they have access rights for the target e-mail Have accounts. You can see who read which emails and when, which attachments were opened and where the message came from - and much more. The Activities API is a programming interface that provides information similar to that received by e-mail admins who operate e-mail servers themselves in-house. Upon specific request, Microsoft admitted the existence of this "undocumented function". Despite the application of the General Data Protection Regulation in the EU, users were not previously informed about these functions.

On November 13, 2018 it was reported that an investigation by the Dutch government came to the conclusion that Microsoft Office 2016 and "365" were collecting personal user data and were in breach of the GDPR . Microsoft has responded to this criticism and made some changes. This can be seen from the re-examination of July 29, 2019, although the investigation still sees open points, such as. z. B. Data on the number of pages, paragraphs, etc., significant changes have been made.
