An event is "a time-limited and planned event with a defined objective or intention, a program sequence with a thematic, content-related or purpose in the delimited responsibility of an organizer, a person, organization or institution in which a group of people takes part". The organization of the event is the distinct responsibility of an organizer , person, organization or institution. In Switzerland, an event is synonymous with an occasion .

Public events within the meaning of the Weapons Act are "scheduled, time-limited events that stand out from everyday life, which are not limited by the number of people present, but by their extra-everyday character and specific purpose, from simply staying together in one place and usually everyone are accessible, based on a special occasion and regularly have a sequence program ”.

Phases of an event

An event consists of several phases. Different actors are involved in each.

Idea phase

In the first phase, the idea for an event is outlined and refined. This includes preliminary discussions with partners who support the implementation, information about the required documents and the preparation of a feasibility study.

The planning phase includes coordination with the authorities. The goal is to get a ready-made permit, assessment or notification. Depending on the event, further concepts may be required and requested from the authorities.

Implementation phase

Once the official procedure has been completed, implementation can begin. The contracts with the service providers must be concluded and personnel must be acquired in order to ensure that the event runs smoothly. The conditions must also be met. During this phase there can always be discussions with the actors involved.

Implementation phase

The implementation phase includes the construction, the event itself and the dismantling. The official procedure may include approval and acceptance at the end of the event.

Follow-up phase

The event is evaluated in the follow-up phase. This includes communication, the evaluation of the number of visitors and negative and positive effects. The goal is to improve opportunities for the next implementation.

Project BaSiGo

In Austria , all laws that must be observed when holding an event are regulated in the respective event laws of the countries. These are documented in the legal information system of the Republic of Austria . The respective event law is a matter of the state and thus varies in the nine federal states of Austria.

Federal Association of the Event Industry

Organizers can organize themselves in the Federal Association of the Event Industry. It has represented the interests of its members since 1985 and has had its current name since 2010. It offers the opportunity for professional exchange, the representation of interests in parliament and provides a job exchange.
